Privacy policy
Effective October 18, 2026
Tracking Awards helps law firm marketing and business development teams find award and ranking opportunities and keep track of deadlines. This policy explains what information we collect, why, and the choices you have. If anything here is unclear, email support@trackingawards.com.
What we collect
- Account details: your name and email address when you sign in, and your role on your firm's team.
- Your firm's profile: firm name, offices, practice areas, client industries and past recognitions. If you give us your firm's website, we read its public pages to draft this profile, and you can edit it.
- What you put in the app: the awards you track, statuses, owners, deadlines your team confirms, notes, submission answers and files you upload.
- Billing details: if you subscribe, our payment processor Stripe collects your card and billing address. We never see or store your full card number. We keep your Stripe customer and subscription IDs so we know your plan.
- Usage information: pages you visit and buttons you click inside the app, so we can see what's working and fix what isn't.
How we use it
- To run the service: match awards to your firm, show deadlines, send the reminders you've asked for, and let your teammates work together.
- To bill you, if you subscribe.
- To answer support requests and tell you about important changes to the service.
- To improve Tracking Awards. We don't sell your information, and we don't share it with other firms.
AI features
Some features, like drafting your firm profile, matching awards and summarizing award requirements, use AI models provided through our hosting platform. We send only what the feature needs, such as your firm profile or an award's public page. We don't use your notes, files or submission answers to train AI models.
Who we share it with
We use a small number of service providers to run Tracking Awards, and they may process your information only to provide their service to us:
- Base44, which hosts the app and its database and provides the AI models.
- Stripe, for payments.
- Resend, to send reminder and account emails.
- LinkedIn, whose Insight Tag on our public homepage measures our advertising. It isn't used inside the app.
We may also disclose information if the law requires it, or to protect the rights and safety of our users or the service.
Who can see your firm's data
Your firm's tracked awards, notes, files and answers are visible only to people your firm has added to its team. Firm admins decide who joins. A small number of Tracking Awards staff can access data when needed to provide support or keep the service running.
Keeping and deleting data
We keep your information while your account is open. You can ask us to delete your account or your firm's data at any time by emailing support@trackingawards.com. We'll remove it within 30 days, except records we must keep for legal or tax reasons, such as invoices.
Your rights
You can ask to see, correct, export or delete the personal information we hold about you. California residents have these rights under the California Consumer Privacy Act, along with the right not to be discriminated against for using them. We don't sell or share personal information for cross-context behavioral advertising as those terms are defined in that law. To make a request, email support@trackingawards.com.
Security
Data is encrypted in transit, each firm's records are separated by access rules on our database, and payments are handled entirely by Stripe. No system is perfectly secure, so if you ever think something is wrong, tell us right away.
Changes
If we make a material change to this policy, we'll update the date above and let account admins know by email before it takes effect.
